Reports to: Inventory Control Manager Job Summary: The Inventory Control Administrative Specialist plays a vital role in maintaining optimal inventory accuracy and integrity within the company, overseeing various administrative tasks to ensure efficient operations.
This role involves managing stock orders, expediting critical parts procurement, contributing to quality reporting, and assisting in coordinating all aspects of annual physical inventory.
Additionally, the Specialist conducts audits to enforce compliance with inventory standards, including the 5S audit process, which encompasses auditing cash boxes and petty cash at local branches, as well as performing parts inventory cycle counts and identifying safety issues.
Responsibilities: - Generate inventory stock replenishment orders for the branches.
- Manage critical machine down orders and ensure timely parts procurement.
- Conduct research on inventory discrepancies and recommend adjustments as needed.
- Monitor back orders and escalate issues with vendors when necessary.
- Adhere to all parts policies and procedures of the company.
- Maintain comprehensive knowledge of vendor rules and requirements for stock ordering.
- Assist in facility audits to ensure compliance with inventory control standards, including conducting 5S audits.
- Assist the Inventory Control Manager with coordinating all aspects of annual physical inventory.
- Take charge of price/parts record database management.
- Conduct data analysis and reporting to assess obsolescence/parts life cycle to ensure timely coordination on parts returns with suppliers and/or utilizing third-party platforms to sell obsolete items.
- Monitor on order purchase orders across the companywide to ensure timeliness of order placement across all order types.
- Travel for 5S Audit and other parts-related projects that require in-person collaboration.
- Process monthly and annual parts returns to vendors according to established rules and conditions.
- Undertake other projects as assigned by the manager.
Education/Experience/Skills: - High School Diploma or equivalent.
- Possess extensive equipment and parts knowledge.
- Proficient in computer skills, particularly Excel.
- Strong interpersonal skills with the ability to communicate effectively.
- Self-motivated with the capacity to work independently with minimal supervision.
- Ability to perform daily operations meticulously and promptly.
