Responsibilities:
* *Administrative Support:* Provide general administrative support, such as managing schedules, handling phone calls, organizing meetings, and responding to emails.
* *Document Preparation:* Prepare and edit documents, including letters, memos, reports, and presentations.
* *Data Entry:* Enter and maintain accurate data in databases or other systems.
* *Communication:* Act as a liaison between executives and other staff members, clients, or external contacts.
Draft and send communications on behalf of the executives.
* *Travel Arrangements:* Arrange and coordinate travel plans, including booking flights, accommodations, and transportation.
* *Filing and Organization:* Maintain organized filing systems and ensure that documents are easily accessible.
* *Meeting Coordination:* Schedule and coordinate meetings, including preparing agendas, taking minutes, and ensuring necessary resources are available.
* *Office Management:* Handle basic office management tasks, such as ordering supplies, managing office equipment, and overseeing general office operations.
* *Customer Service:* Provide excellent customer service to internal and external stakeholders.
* *Research:* Conduct research on various topics to gather information or support decision-making.
* *Event Planning:* Assist in organizing events or conferences, including logistics, invitations, and coordination.
* *Confidentiality:* Handle sensitive information with discretion and maintain confidentiality.
Experience:
- Proven experience as an administrative assistant or in a related role
- Knowledge of office management systems and procedures
- Proficient in MS Office (Word, Excel, PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Strong organizational skills with great attention to detail
- Excellent written and verbal communication skills
- Ability to multitask and adapt to changing priorities
- Experience with event planning is a plus
- Experience working in a medical office or healthcare setting is a plus
